May I reuse a Canadiana number?
You must never reuse a Canadiana number in a field 016 $a, if it’s already been attributed, even if it was previously attributed to an authority record that has since been deleted. If a Canadiana number has been reused by mistake, a new one should be assigned (see Question 2).
What should I do if the same Canadiana number appears in two separate authority records?
If the same Canadiana number appears in two separate authority records in Canadiana, assign a new number in the most recent record (with the most recent date in field 008/00-05).
- The oldest authority record retains its Canadiana number (example: XXXXAXXXXF).
- A new Canadiana number should be attributed to the most recent record (example: YYYYAYYYYF) and the other number (XXXXAXXXXF) should be recorded in subfield $z in the same 016 field as the new number (recorded in $a).
What do I do if the same entity has two different Canadiana numbers in the Canadiana file and in NACO?
If the same entity does not have the same Canadiana number in the Canadiana file and in NACO, please report this situation to: pfan-fnap@bac-lac.gc.ca.
